Uganda: UNBS Launches Digital Records System to Boost Efficiency, Service Delivery

The Uganda National Bureau of Standards (UNBS) has launched an Electronic Document and Records Management System (EDRMS), a move aimed at improving operational efficiency, transparency, and service delivery across the agency.

The system was officially unveiled on Monday at the UNBS headquarters in Bweyogerere by Executive Director Eng. James Kasigwa, who described it as a milestone in the Bureau's ongoing digital transformation agenda.

"This system is a key step towards modernizing our operations. It will make us a more responsive institution, enable faster decision-making, improve records security, and ensure that critical information is easily accessible when needed," Eng. Kasigwa said.

He also acknowledged the support of the Government of Uganda, particularly the Ministry of Public Service, and the consultants who assisted in establishing and automating the registry, noting that this is the first time UNBS has combined registry setup with an EDRMS rollout.

The Commissioner of Records and Information Management at the Ministry of Public Service, Lillian Rose Ariso, commended UNBS for embracing digital solutions, highlighting the initiative as a first among government entities to simultaneously set up a registry and deploy an electronic records system.

The EDRMS is designed to replace traditional paper-based processes with a secure and centralized digital platform.

It is expected to streamline the creation, storage, retrieval, and management of records across the bureau while providing multiple operational benefits.

These include improved efficiency through faster processing and retrieval of documents, enhanced transparency and accountability via clear audit trails and controlled access, and better service delivery with quicker responses to stakeholders.

The system also provides increased data security, protecting sensitive information through secure digital storage and backup systems, and ensures regulatory compliance by improving adherence to national records management policies and standards.

UNBS reaffirmed its commitment to leveraging technology to enhance service delivery, responsiveness, and operational effectiveness, noting that the digital platform will strengthen institutional performance and safeguard critical information for both the public and stakeholders.
